How to Send Payouts to Rippling
This article walks you through how to use the Rippling integration to automatically send QuotaPath payouts into a Rippling pay run.
Step 1: Check Your Settings
After you have set up the Rippling integration on the Integrations tab, double-check your settings before sending payouts to Rippling for the first time.
Go to Settings in the left-hand navigation (bottom), then to Preferences. Scroll down and find your Rippling settings.
First, double-check the Rippling pay type. This is the pay type, or earnings type, that QuotaPath payouts will be sent into. The most common option, and the default, is Commission, but you can select a different earnings type if you prefer, including a custom one.
Next, double-check your payroll admins. These are the admins who will have permission to send payouts into Rippling. All admins can see the new Payroll page, but only those with this permission can actually send the payouts.
Step 2: Approve Earnings
Before you send payouts, the commissions need to be approved. The typical commission payout workflow in QuotaPath is: approve earnings on the Approvals page, which automatically creates a payout record to schedule on the Payouts page, and once scheduled, the approved and scheduled payout record is available on the Payroll page to be sent.
Step 3: Schedule Payouts
After approving commissions, navigate to the Payouts page. Scroll down to see reps who have commission payouts owed and/or eligible. Select payouts for the relevant reps. When you click the green Payout button and schedule the payout date, the payout date calendar will highlight your Rippling pay run dates so that you can schedule your payouts for the correct pay run dates.
If you select a payout date other than the highlighted pay run dates, you will not be able to push your commissions to Rippling in the next step. If the date you selected needs to be added as a usable pay run date, that change needs to be made in Rippling first.
Select your payout date, choose to pay out 100% of the commissions, and click Save to create the scheduled payout records.
Step 4: Send Payouts to Rippling on the Payroll Page
Once payout records are scheduled, head to the Payroll page. The Payroll page is organized into two tabs - Scheduled payouts (those scheduled for the future) and Paid payouts (those that have already occurred).
You can export the entire page based on your applied filters, or click the menu next to a payout date to export an individual payout date. This gives you quick access to historical payout records.
Under Scheduled, you will see upcoming payout dates. Pay runs that have already been sent show a Sent status. For payout records that have not yet been sent, you have the option to Send to Rippling.
If you do not have the option to push a scheduled payout to Rippling, it is likely because you selected a date when scheduling the payout that was not a designated pay run date from Rippling. You would either need to go back and delete the payout record and reschedule it for a Rippling pay run date, or add a pay run date in Rippling and then come back to QuotaPath to finish pushing your commissions.
You can send payouts for each individual member, or select and send them in bulk. Before sending, do a final validation of the total commission amount.
When you click Send to Rippling, you will be asked to confirm which pay run to send the payouts into. This matters in cases where you have multiple pay runs on the same day, such as separate pay runs for base and variable. Select the correct pay run, do a final review of the total commissions, and click Send to Rippling, then confirm.
Once sent, the status updates to Sent on the QuotaPath Payroll page. Currently, there is no way in QuotaPath to pull back or undo a pay run sent to Rippling.
Step 5: Verify in Rippling
In Rippling, navigate to the pay run you sent the payouts into. The pay date in Rippling should align with the payout date you set in QuotaPath. Refresh the page and scroll down to confirm the commission earnings type is populated for each rep with the corresponding amounts.
Once a pay run has been approved in Rippling, you will no longer be able to send payouts into that pay run. If you run into errors while attempting to send payouts into your Rippling pay run, double check that your pay run is not already closed or that the specific user(s) is included in that pay run. These are common errors.
Once the pay date has passed, all payout records will automatically move into the Paid tab and be marked as paid in QuotaPath.
That is how you use the Rippling integration to send payouts, save time, and keep accurate statuses and historical records.
