How to manually create clawbacks

Sometimes you need to deduct money from a team member's payouts — recovering a draw, correcting an overpayment, clawing back commission on a deal that fell through, or offsetting any other amount already paid out. QuotaPath's manual clawback feature lets you create and schedule these deductions, so they're documented for the member and included alongside your regular payout exports.

What it does

A manual clawback creates a standalone deduction record tied to a person, with a record name, payee, clawback amount, clawback date, and optional note. It isn't generated from a deal or plan calculation — you enter the details yourself. This gives the payee visibility into why their earnings were reduced, and gives you, as the admin, a complete record of every deduction taken, including amounts that live outside your standard commission structure. Who can create one

Only admins can create manual clawbacks.

How to create a manual clawback

  1. Go to the Payouts page and select the Payouts tab.

  2. Click the caret next to the green + Create Payout button (right side) to open the dropdown.

  3. Select Create Clawback.

  4. Give the clawback a record name. (e.g. Q3 Draw Recovery)

  5. Select the Payee you're deducting from.

  6. Enter the clawback amount. You can enter a positive amount.

  7. Select the clawback date. (If needed, you can break this up over multiple dates.)

  8. Add a note with any additional context, if helpful.

  9. Save the Clawback.

Once created and scheduled, the clawback appears on the Export tab and is visible to the admin and the member, reducing that member's payout just like any other standard, approved, and scheduled deduction.

Why use manual clawbacks instead of tracking these separately

Without this feature, one-off deductions like draw recoveries or overpayment corrections often end up scattered across spreadsheets, Slack messages, or emails — with no single source of truth. Recording them as manual clawbacks in QuotaPath means:

  • The team member has a clear, permanent record of why and when a deduction was made, reducing disputes or confusion later.

  • You and your finance team have a complete, exportable record of everything deducted through QuotaPath, including amounts unrelated to deals.

  • When you run payout exports, manual clawbacks are included alongside standard commissions, so nothing gets missed when it's time to process payroll.
