How to Assign Quotas & Rates
This article walks you through how to assign quotas and rates to individuals in QuotaPath.
When to Update Quotas and Rates
If you are assigning a new member to an existing plan, after you assign them to the plan, make sure to update their quotas and their rates. Otherwise, they will have the default quotas and rates that were configured during the initial plan setup.
Update a Quota
Head over to the Plans page and select the plan you want to make updates to.
Find your quota component and click into it to view the individual quotas that have been set up.
Click Manage Quotas.
On the left-hand side, you will see the quota configuration. For example, you may have a quarterly quota that changes over time. You can add additional periods by clicking the plus sign, and you can remove any periods you do not need by clicking and deleting the column.
You can update quotas individually one by one, or make bulk updates:
Click Bulk Updates and download the template.
The template will show each assignee’s email in column A, with the different periods across the top. Do not adjust column A or rows 1 and 2.
Update each individual’s quota in the appropriate cells and save the file.
Come back and bulk update by uploading the file.
Once you make any updates, hit Save.
Switching a Quota to Change Over Time
Quotas can stay the same or change over time. To switch a quota from staying the same to changing over time, select Changes Over Time in the quota component editing pane and choose a start date. The start date should be the beginning of the plan, so you do not run into data integrity issues for previous months. Once you do that, make your adjustments and hit Save.
Update Rates
Updating rates is a similar process. Select the plan where you want to update rates, click the earnings component you are going to update, and click Manage Rates.
Like quotas, rates can also change over time. As you build out a plan, if you know there can be fluctuations in an individual’s variable pay throughout the year, you may want to have rates change over time. If your policy allows changes only at the beginning of the quarter, set rates to change quarterly. If there is potential for mid-quarter updates, set them to change monthly.
You can adjust individual rates in the rate table that can be accessed from the component editing pane by clicking Manage Rates, or when viewing the plan, by clicking on your component to view its details and then clicking Manage Rates on the right. If you have auto-rate calculations set up, you can make adjustments to variable compensation. For example, if someone is getting an update starting in July, you only want to calculate the periods going forward — calculating all periods would adjust the rates for each period before the variable comp update.
Calculate Period vs Calculate All
If you are using the automatic rate calculation feature, make sure that for plans with existing rates and earnings, you default to using Calculate Period so as to avoid changing past rates.
Even if you are not using the automatic rate calculation feature, you can edit the current and future period by clicking into each period's tab and manually updating the amount.
Bulk Update Rates
Click Bulk Updates for rates and download a template.
The template will show each period of change over time, with months across the top. Do not adjust rows 1 and 2, column A, or the dates and periods in column B — only update the rates.
Save the file, come back, click Bulk Updates, and upload the file.
That is how you adjust quotas and rates in QuotaPath. Anytime you assign a new member to an existing plan, make sure their quotas and rates are updated accordingly.
