How to Schedule Payouts

This article walks you through how to schedule payouts in QuotaPath.

After completing your deal approvals on the approvals page in QuotaPath, the next step in your payout process is scheduling the payout records that now appear on the Payout tab on the Payouts page.

Navigating to the Payouts Page

There are a couple of ways to get to the Payouts page. From your homepage, click the Payouts widget. You can also navigate to Payouts directly from the left-hand menu.

What the Payouts Page Shows

On the Payout tab, you will see deals that have been approved but have not yet been scheduled to be paid out. If you have the approval workflow turned on, only approved deals appear here. If you are not using the approval workflow, you will not have an Approvals page, and any deal that is considered Closed Won but has not yet been scheduled to be paid out will show on this page.

In short, what you see here are deals that have not yet been scheduled to be paid out, either fully or partially.

Filters

At the top of the page, you can filter on specific owners, plans, components, and dates. The date filter on this page is related to the deal date you have mapped. Make sure you are looking at the correct time period for the deals you want to schedule.

You can view the data either by member or by deals/component.

Viewing by Member

When viewing by member, each member is listed on the page. You can click into a member to see the deals per component for that Member.

Viewing by Deal

Viewing by deal will simply show you one list of all deals awaiting payout, iinstead of grouping by Member.

Owed, Eligible and Overpaid

You will notice an Owed button, an Eligible button, and an Overpaid button above the deal table. If you are using the payout eligibility feature, you may see deals that show one amount as Owed and some portion of that amount as Eligible. The Overpaid view will show clawbacks or any approved deals with negative earnings.

If you use Payout Eligibility Criteria on your plans, it is recommended that you work out of the Eligible view when scheduling your payouts to avoid scheduling and paying any payout that is not yet eligible.

Manual Payouts and Manual Clawbacks

From the Payouts page, you can also create a manual payout or a manual clawback, using the green Create Payout button (top right) or the drop-down next to it for Create Clawback. When creating either, you will select a specific payee and the date the payout will be made.

Manual payouts and clawbacks are NOT tied to any specific deal in QuotaPath. You are simply creating an additional payout or clawback record to be added into the rest of the members' earnings. Therefore, manual payouts and clawbacks also do not show on the Earnings or Attainment tab. Once you create a manual payout or clawback, you will export that record along with all of your other non-manual payout records.

Customizing Columns and Page Size

You can add additional fields you need or remove fields you do not. The default page size for viewing records is 25. You can expand this to see all the deals available to be scheduled. When scheduling payouts, be sure that you have paid out all records for your time range. It isn't uncommon for users to only pay out the first page of records and not realize additional pages of records are still there to be scheduled

Scheduling Payouts

There are several ways to schedule payouts.

You can pay out individual deals using the check boxes to the left of the deal name in the deal table, or you can select all and schedule them at once. When you click Payout, you will be able to select the date you are going to pay out. You can pay out by percentage or by dollar amount.

Installments

If needed, you can also add installments. For example, you could pay out 50 percent at the end of October and the remainder at the end of November. To set this up, click Set Up Installments. You can use a dollar amount or percentage and define your number of payouts. For example, if you want to pay out a deal over 12 months, select that option, choose a start date, and click Apply. You will see the installment summary, then click Save to save all of those payouts over time.

Bulk Scheduling Payouts

If you have reviewed everything for each member, you can click Payout next to a specific member, or select multiple members and pay out the selected reps. To pay everything out at once, select all members, click Payout, choose the payout date and percentage, and click Save to schedule them.

What Happens After Scheduling

Once payouts are scheduled, they will no longer appear on the Payout tab, since this page only shows deals that have been approved but not yet scheduled. After scheduling everything for the time period you are reviewing, the Payout page will show that there are no deals left to schedule for that period. All the records that you have now scheduled for payout will be found on the Export tab.

Deleting Payouts / Unscheduling Payouts

Once you have scheduled payouts, if you need to undo the scheduling or change the scheduled date, you will need to delete the payout record. To do that:

  1. Go to the Export tab on the Payouts page

  2. Find the record that you would like to delete or unschedule.

  3. Use the three-dot menu to the far right of deal data or use the checkboxes to the left of the deal name, along with the delete payout button, to unschedule those records and send them back to the payout tab.

Once you complete the payout deletion, those records will appear again on the Payout tab, where you can reschedule them for a different date or unapprove them to send them all the way back to the approvals step and page.
