Admin Checklist: Onboarding a New User

A step-by-step checklist for admins to add a new user and get them fully set up in QuotaPath, from adding them as a member through sending their invite.

Use this checklist to take a new hire from zero to fully set up in QuotaPath — added, configured, assigned to their plan, and validated — before they ever log in.

1. Add the user as a Member

Go to Members in the left-hand navigation and click Add Members. Enter their email individually, or paste a list of emails (separated by commas or line breaks) to add several people at once.

  • Leave the "New Workspace member email notification" toggle OFF for now — you don't want to invite them until their plan is built and validated (see Step 5).

2. Assign their workspace role

New users default to the Member role on the Members page. Change this if needed:

  • Member — assigned to plans, sees only their own earnings/attainment.

  • Team Manager — same as Member, plus can be set as a manager of a Team and can use Rollup components.

  • Admin — full visibility into all members' earnings/attainment, can edit all settings, plans, and members, and can manage data integrations.

3. Fill in member details

While the user is still Pending, an admin can pre-fill their name, title, and employee ID individually or via bulk upload these details for multiple users, so it's ready before they ever complete their first login. This also lets you set their currency if it differs from the workspace default.

Multi-currency note: to set a user's currency to a currency other than the Workspace currency that is set in settings, you'll need to first configure your multiple currencies in Settings. Once you set up at least one additional currency, you will have the option on the Members page to set the Member currency in the Member table.

4. Add them to a Team

If a user will be a Member of a team for the purpose of Roll-up component usage (as a contributing Member or a roll-up credit recipient) you need to add them to a Team as a member or manager. They can only be added as a Manager

5. Assign them to their plan

Go to the Plans page, open (or build) the plan they will be added to, scroll down to Assignees, and add them using the Assign Members button. In the Member assignment flow, enter their annual base and annual variable pay if you plan to use automatic rate calculations in component setup. You can do this whether or not the user has been added as a Member yet — but if they aren't showing up as a CRM match, add them as a Member first (Step 1), then come back to finish the assignment.

6. Set their Plan details

If you have built them a new plan or are assigning them to an existing plan, make sure that their quotas and commission rates or bonus amounts are correct. if the plan they are being assigned to uses the automatic rate calculation feature, make sure that your component weightings and your calculated rates are updated and accurate. If they have not had rates calculated yet, go to the component, click Manage Rates, and then Calculate for the period you will be adding them for.

If you are assigning a Team Manager who gets credit based on their team's deals, be sure you've created a roll-up for them based on the team that you created in step four.

7. Validate their earnings before going live

Before sending an invite, confirm:

  • The plan is set to Active (not Draft).

  • Their data source/CRM is correctly mapping deals or activity to this member, if applicable.

  • Their attainment and earnings calculate as expected on the Earnings/Attainment pages.

This is the step most teams skip — validating first avoids the new hire seeing incorrect numbers on day one.

8. Send their invite

Once everything above checks out, invite them in one of two ways:

  • From Members, click Invite All Pending to invite everyone waiting at once, or

  • Use the 3-dot menu next to their name and select Send invite to invite just that person.

9. Request Plan Verification

If you want new users to verify receipt and sign off on their plan, you can request plan verification. This is not required.

10. Confirm activation

Once the user accepts their invite and completes their first login, their name will replace their email in the Member list and their status will move from Invite Sent to Active. They're now fully onboarded.
