How to Configure Payout Statements

Payout Statement configuration and publishing for Admins

Payout Statements give members a record of what they were paid for a specific period. This is a payout-only statement of record, not a performance view. It shows what was paid, not how a member is tracking against quota.

Access

  • Admins: Configure, publish, and view statements for all workspace members

  • Team Managers: View statements for members within their team

  • Members: View their own statement

Payout statements are automatically on by default in all new workspaces. If you wish to disable statements altogether in your workspace, Support or your Account Manager can assist with that. There is no way to hide the Statements tab completely from Members while keeping it available for Admins to configure statements.

Configuring Payout Statement settings

Every statement is built from three settings working together:

  1. Period Setting: The statement period you define within Statements Configuration. This controls how often statements go out and the window each one covers: weekly, semi-monthly, monthly, or quarterly (calendar quarter or fiscal quarter, if your workspace has one configured).

  2. Payout Date: The date you enter when scheduling a payout on the Payouts page.

    1. Best Practice: we recommend that you enter the date that aligns with when members get paid, not the date you finalized numbers internally, or the date you happen to be reviewing these records in QuotaPath.

  3. Prior Period Payout as the default: QuotaPath assumes you're paying out for the prior period's earnings. For example, January earnings get paid out in February.

Any number of payouts can be scheduled across different dates, and as long as those dates fall within the same period window, they all appear together on a single statement.

For example, on a monthly period cadence:

  • You schedule payouts dated Jan 1, Jan 15, and Jan 20

  • All three fall within January, so the prior-period shift applies the same way to each

  • All three appear together on the Jan 1–31 statement (in the statement detail view, the earnings period will show as Dec 1–31)

Configure workspace statements

As an admin, you can configure the statements for your workspace.

Note: At this time, Statements are configured for your entire workspace.

  1. In the left-hand navigation, under Commissions, select Statements.

  2. Select a statement period. This should align with the cadence of the earnings period for which members are typically paid out commissions for and will determine the earnings period displayed to members on their statement:

    1. Weekly

    2. Semi-monthly

    3. Monthly

    4. Quarterly (you can choose calendar quarter or if you have fiscal quarter enabled on your workspace settings and you choose quarterly, we will pull in that setting by default).

  3. Customize the statement breakdown. The scheduled payout amount is always included, since that is what the statement is based on. You can choose to include or exclude the following:

    1. Count of deals contributing and the count of payout records it translates to (this is the number of unique deals that contributed to the scheduled payout for a particular statement)

    2. Component breakdown (this includes specific components that contribute to this payout amount for a particular statement to provide context around any bonuses, rate tiers, accelerators, or other breakdown details that explain the payout total)

    3. Earnings recovered (this would include any negative earnings or clawbacks recovered)

  4. You can view a live preview rendering of the statement as you configure settings that will pull in data from the most recently completed period. You will be able to preview per member and the preview will update automatically based on any data points you configure.

  5. You can always update your setting any time. Updated settings will apply to any unpublished statements and new statements moving forward

Publishing a statement

Publishing a statement should be done after payouts have been reviewed and finalized, since publishing a statement freezes the data at the time of publish.

Statements are not sent automatically. An admin has to review and publish a statement in order for members to be able to view and access.

  1. On the Statement History tab within Statements, open the period you want to publish by clicking the Publish button.

  2. You can preview each individual member's statement before publishing.

    1. You can also add a custom note for that member only

  3. Optionally deselect specific members, or filter by team or plan, to publish to a subset first (partial publish). Members left out can be published to later if needed.

  4. Once ready, you can click to Publish.

  5. Admins can view all current and past statements for all workspace members on the Statement History page.

  6. Team managers can view all previously published statements for members within their team on the Statement History page

The following happens when you publish:

  • The statement locks to the data as it existed at that moment of publication. Changes to the underlying deal after publishing will not retroactively change the statement.

  • Each included member receives an email notification letting them know they can view their statement in QuotaPath. The link will take them directly to the statement for that period. They will also be able to print to PDF.

  • The statement becomes visible on the member's Statements page.

  • The statement moves to Published on the admin side.

Republish a statement to correct a mistake

If your payout data changes or there was an error that needs to be corrected, you can republish a statement.

  • Published statements can be republished for an individual, for selected recipients, or for all.

  • The new statement pulls current data, so the numbers reflect whatever is accurate at the moment you republish, not the original snapshot. Note: Payout records included are still determined by the payout date entered.

  • Previous versions are kept for record within the admin view and are not deleted. You can view previous versions at any time.

  • The member receives a new email notification upon republish and the updated version will replace the previous statement from the member view just for recipients of the updated version.

Best practices for publishing statements

Good candidates for publishing on schedule:

  • The payout cycle for that period has fully closed and any approvals or disputes have been addressed.

  • All expected earnings recoveries (clawbacks, draws, or manually entered negative payouts) for the period have been resolved or dismissed.

  • You are ready to stand behind the numbers as final, since publishing freezes them.

Hold off on publishing when:

  • Approvals for the period are still in progress.

  • You are still waiting on a data sync.

  • An earnings recovery affecting the period is still unresolved.
