Removing and/or Deactivating Members

How to remove and/or deactivate Members in QuotaPath

To remove or deactivate members of your organization from your QuotaPath Workspace, click on the 'Members' page in the left hand navigation menu.

Before removing the User - end plan, complete payouts

Step 1: End the user’s plan

Before deactivating a user who has moved on from the company, head to the Plans page and find the member and their plan. Edit the member plan details and adjust the end date so the plan no longer continues to accrue earnings. Setting the end date stops data from flowing through to the plan for that person. Hit Save once the end date is set.

Step 2: Pay out any remaining payouts

Once the plan end date is set, make sure you have paid out any final payouts owed to that person. Schedule any remaining payouts so the deactivation does not leave anything outstanding from a deal or plan perspective.

How to Deactivate

Click the 3-dot menu icon to the far right of the Member's name, and select 'Archive or Remove'. Then choose one of the below two options from the menu:

  • Archive (recommended): Earnings, attainment and payout data will still be accessible. Admins can always reactivate archived members. Members can still view historical data for their Archived Plan. Archived Members do not count towards the contracted User total.*

  • Delete: All data for this user to-date will be deleted from the Workspace. You will be made the owner of this user's plans. This cannot be undone.

Select one of the above two options, and then click the 'Save' button.

Archived User visibility

Once a member is archived, you'll be able to continue to filter for that user's data on the Earnings, Attainment (screenshot 2 below) and Payouts pages (first screenshot below). Archived members will appear in the "Inactive" sections shown below:

Lastly, you'll still be able to edit the plan effective dates for archived members to ensure only eligible commission data appears in that plan for that member when approving earnings and scheduling payouts.

* Archived Users will not reduce the contracted billing total. If a workspace has 10 user seats contracted, and only 8 members are active, the contracted billable amount remains the same. If you need to add additional users but are currently using all contracted seats, archiving old, no longer active users will help avoid additional users being invoiced.
