Offboarding a User in QuotaPath: Admin Checklist
Use this checklist when someone leaves the company or moves off a comp plan, to make sure they're fully paid out and cleanly removed from QuotaPath — nothing left outstanding, nothing broken for the team members left behind.
1. Export their data first (recommended)
Before you archive or delete anyone, go to Members and click Export Member Data to download a CSV snapshot of the workspace, including this member's base salary, variable pay, role, and status history. This is especially important if you plan to Delete the user later (Step 5), since deletion is permanent and cannot be undone. We NOT NOT recommend ever deleting Users. Archive instead.

2. End their plan
Go to Plans, find the member's plan, and open it. Scroll to the Assignees at the bottom, use the 3-dot menu next to their name, and edit their plan details to set an end date. This stops new earnings from being calculated past their last day.
3. Pay out any remaining earnings
Once the end date is set, confirm there's nothing left owed to this person:
Approve any outstanding earnings tied to their correct plan dates.
Schedule their final payout(s) so nothing is left pending after they're archived.
If Approvals still show up for an already-archived member, it means those earnings weren't processed before archiving. If the end date was set correctly and the earnings genuinely fall within their assignment dates, process those approvals/overrides as normal. If the end date was wrong, unarchive the member, correct the plan end date, let earnings recalculate, process what's owed, then re-archive them.
4. If they managed a team, reassign it
If the departing user was a Team Manager with Rollup components or direct reports, reassign their team to a new manager on the Teams page (if needed) before archiving them, so Rollup earnings for their former reports keep calculating correctly.
5. Archive (or delete) the member
On the Members page, click the 3-dot menu next to their name and select Archive or Remove, then choose:
Archive (recommended): Earnings, attainment, and payout history stay accessible. You can always reactivate the member later. Archived members do not count toward your contracted user total, which helps you avoid extra seat invoicing when replacing them.
Delete (NOT recommended): All data for this user is permanently removed from the workspace, and you become the owner of their plans. This cannot be undone — make sure Step 1 (export) and Step 3 (final payout) are done first.
Click Save to finish.

7. Confirm they're fully off-boarded
Archived members will show under the Inactive/Archived filters on the Members, Earnings, Attainment, and Payouts pages. You can still edit their plan effective dates later if you ever need to correct which commission data applies to them. At this point, the user is fully paid out, archived, and removed from active workspace billing.
